How to make a professional invoice

Create a branded invoice, quote or estimate in minutes — add your logo, line items and tax, watch the totals update live, then export a clean PDF.

The Invoice builder turns a few fields into a polished, client-ready document. Everything you type renders instantly into a live preview on the right, so there's no guessing what the final PDF will look like. Here's the full flow.

Open the Invoice builder and pick a document type

From the sidebar choose Invoice. At the top you can switch the document type between Invoice, Quote and Estimate, set the currency ($ / £ / €), and use Save, Share, Download or PDF at any time. Mark as paid, Duplicate and New manage the document itself.

Add your business details and logo

Under Your business, upload a logo (PNG, JPG or SVG, max 1.5 MB) and enter your business name and contact line. These appear in the header of the live preview on the right, so your invoice is branded from the first line.

Fill in the client, terms, and line items

Add the Bill to client name and address, set the invoice number, date and payment terms (On receipt, Net 7/14/30). Then add line items — description, quantity and rate. The preview totals (subtotal, tax, total due) recalculate instantly as you type.

Review the live preview and export

Check the formatted invoice on the right. When it looks right, hit PDF to export a print-ready file, Download to save, or Share. Use Save to keep it in your workspace, and Mark as paid once the client settles.

Use-case example

Freelance designer billing a client. Maya finishes a branding project. She opens Invoice, uploads her studio logo, and bills to "Northwind Co." She adds two line items — Design services, qty 10 @ $75 and Consultation, qty 2 @ $120 — sets tax to 8.25% and terms to Net 14. The preview shows a Total Due of $1,071.67. She hits PDF, emails it, and later taps Mark as paid when the payment lands.

Pro tip

Use Duplicate to reuse a previous invoice as a template for a repeat client — then just update the line items and date.
